Clarify New Idea Process
Overview
This document outlines the process for Business Improvement Processes, Ideas and Planning.
New Idea Process
- Starting from a new idea; the “task” (and subtasks) is added to Monday.com.
- The projects is then defined as a Plan on a Page (POAP) using the template in the Business improvement SharePoint site.
- The POAP score and link to the POAP document is added to the Monday Task.
- Work with the Project Coach to validate the project, plan and tasks
- The new project (with attached POAP) is tabled for the Steering Committee meeting for discussion and approval.
POAP and Steering Committee Approval
A new POAP is tabled to the Steering Committee (held every 2 weeks) for review and/or approval.
POAP and an Approved Plan
After a plan is approved; additional changes or tasks are added to the Monday.com Task.
The POAP does not need to be updated or maintained; it’s the original idea and plan that was approved.
On going project activities
After a plan is approved;
- The Monday.com Planning tasks and overall project status should be maintained Monday.com
- it is up to the project lead to determine where content and details are stored for the project.
- A separate Monday.com workspace
- A Microsoft Team (With Files, Conversations, Plans)
- In Excel in your Team SharePoint Site
Monday Tasks and POAP
Tasks are managed in Monday.com and POAP are stored in SharePoint.
- Your Monday.com Task must reference the POAP Score and Document
- (Optionally) your POAP can reference the Monday.com Task
The POAP Score is the “Score” Value from the plan with the POAP a link to the document in SharePoint.
NB: do not upload the POAP but paste the link to the document in SharePoint.
There is a view in Monday to show Tasks that are missing either the POAP Score or Link

Creating a new POAP
Open https://ethosbuilding.sharepoint.com/sites/Planning
And Click New then POAP Template
There are two Tabs in the POAP (Opens in Microsoft Excel). You need to fill both of these pages.
POAP (Plan on a Page)
Outline of the Plan, Description, Objectives, Tasks
BVAF (Business Value Assessment Framework)
Metrics to assess the business benefits of the project from different aspects including ROI, Costs and Risks
Saving the POAP
Ensure you save the POAP to the Business Improvement SharePoint Site
Copying the link to your POAP
In Monday.com your should record the link to the POAP.
Open the SharePoint Business Improvement site, click … and then Copy Link
